Students, instructors and enrollments
Set up the people who teach and take your courses, enroll students, and follow their enrollments.
Who it is for
Course administrators and instructors who manage who teaches a course and who takes it.
Availability
You need the course permissions to see and change students, instructors and enrollments. Students and instructors are in the Learning module, under People. Enrollments, cohorts and the course team are inside each course, under People in the course navigation.
Students and instructors
Each student and each instructor has a profile in your workspace. A profile is linked to a contact, so the person's details stay in one place.
Add a student or an instructor
- In the Learning module, under People, select Students or Instructors.
- Select Add. The Create Student Profile or Create Instructor Profile dialog opens.
- Choose the Contact. You can also add an About text and an Avatar URL.
- Select Create.
Coming: when selling courses is available, a buyer who has no student profile yet gets one automatically.
Assign instructors to a course
- Open the course and, under People, select Teams.
- Select Add. The Add Team Member dialog opens.
- Choose the Instructor and their Role.
- Select Create.
Enroll a student
- Open the course and, under People, select Enrollments.
- Select Add. The Create Enrollment dialog opens.
- Choose the Student Profile. You can also place the student in a Cohort.
- Select Create.
An enrollment you create yourself is not tied to a sale, so a refund never ends it. To move a student to another cohort, select Edit on the enrollment.
The Enrollments list shows each enrollment's student, cohort and Status.
Cohorts
A cohort is a group of students who take a course together, with its own Start Date and End Date. To create one, open the course, select Cohorts under People, select Add, enter a Name and the dates, and select Create.
Enrollment status
Every enrollment has a status:
| Status | What it means |
|---|---|
| Active | The learner has access to the course. New enrollments start as active. |
| Completed | Coming. Today no enrollment reaches this status: enrollments are Active or Revoked. |
| Revoked | Access was withdrawn, for example after a full refund. |
A revoked enrollment is final. It is never reactivated. If the learner joins the course again, they get a new enrollment.
Completion certificates
- Open the course and, under Assessments, select Certificate Templates to prepare the template for the course. You can edit a template later. If you have a social profile, you are recorded as the template's author.
- Select Certificates, then select Add. The Create Certificate dialog opens.
- Choose the Student Profile, the Enrollment and the Certificate Template. The lists show each template by its title, and each enrollment by the student's name if you can read student profiles.
- Select Create.
Staff issue certificates. A certificate stays valid after a refund. Learners see only their own certificates; staff with the course permissions see all of them.
Coming: certificates issued automatically when a learner completes a course.
What learners see
Learners use the Academy area of their personal Studio menu.
- My Courses, on the student dashboard, lists the courses they are enrolled in. A course whose enrollment is revoked no longer appears.
- Certificates lists the completion certificates they hold.
- The student dashboard shows Not available yet for learning hours and pending tasks. Coming: progress, hours and task tracking.
Instructors see Earnings and Payouts pages in the Academy area. Coming: both are empty today and will show course sales once instructor earnings are tracked.
